Terms of engagement.
The rules of the road for our fixed-price packages. Plain English where it works, specific where it has to.
Who you're hiring.
The Plan Company is a trading name of The Plan Company London Ltd, a company registered in England & Wales (company number 17105830), registered office 60 Midland Road, Wellingborough, NN8 1LU. Contact us at hello@theplancompany.co.uk. These terms cover the standard fixed-price packages listed on this site. When you book a package we'll send a short statement of work (SOW) with your specific dates and deliverables, if anything in the SOW contradicts these terms, the SOW wins.
What you're buying.
Each package covers a defined slice of work: architectural drawings, the building regulations drawings and structural calculations you need for Building Control, and, where a planning or permitted development application is required, managing and submitting that application on your behalf. We do not lodge the Building Control application itself, you or your builder submit the pack we produce. The current packages are:
- Loft, £1,650.
- Extension, £1,650.
- Combo (loft + extension) - £2,950.
The package detail pages list exactly what's in each pack. The price you see is the price you pay, fixed, no quotes-after-a-call, no surprise extras.
How you accept a quote.
When we send you a quote by email, the email includes a link to a secure acceptance page on this site. To accept the quote you tick three confirmation boxes (price and package, agreement to these terms and the privacy notice, and the payment schedule) and click the Accept button.
Clicking Accept forms a binding contract under English law between you and The Plan Company London Ltd on the basis of these terms and the quote. We record the date and time of your acceptance, the IP address and browser the click came from, and the version of these terms shown to you, and keep that record for both parties' protection.
Quotes are valid for 30 days from the issue date shown on the quote. After that the price and any expedited slot may have moved on, so please ask for a fresh quote.
What's not included.
We're upfront about this because it's where most disputes in this industry come from. The package price does not cover:
- Planning permission applications, including the local authority planning fee.
- Our £199 admin fee for handling and submitting your planning or permitted development application. Separate from the package price and charged only if you ask us to submit on your behalf.
- Party Wall surveyor fees or notices.
- The Building Control submission fee charged by the local authority or approved inspector.
- On-site work, supervision, site visits beyond the initial survey, or contract administration.
- Specialist reports (acoustic, drainage, SAP, EPC) unless we've agreed otherwise in writing.
- Builder selection, project management or anything done by a contractor.
Where you need any of these, we'll flag it before you book. We can usually point you at someone good.
Out-of-scope work.
If you ask for something that sits outside the package, we charge £55 per hour. We will not start out-of-scope work until you've agreed the estimated hours and cost in writing (email is fine). You won't get a surprise invoice for something you didn't ask for.
Revisions.
Each package includes two rounds of revisions to the drawings, already in the fixed price. A round is one consolidated set of changes, please collect feedback and send it as a single package rather than drip-feeding. Further rounds are charged at £55 per hour.
Revisions requested after a planning application has been submitted, or after the pack has been lodged with Building Control, may trigger a re-submission fee from the local authority or approved inspector. That fee is set by them, not by us, and sits outside the package price.
Timelines.
Standard turnaround from receipt of survey data and final brief:
- Loft or Extension, 14 working days.
- Combo, 21 working days.
- Expedited, 7 working days for the single-package work for an extra £450, subject to capacity.
The clock starts when we have everything we need from you. If we're waiting on site access, feedback or paperwork the timeline pauses. We'll tell you on the day we're blocked.
What we need from you.
The packages are fixed price because the inputs are predictable. To keep them that way, you agree to:
- Give us safe and reasonable access to the site for the initial survey.
- Provide an accurate brief, including any planning conditions or covenants you're aware of.
- Respond to questions and review drawings within 5 working days.
- Tell us promptly if anything changes, scope, ownership, timescale.
- Pay invoices on the terms below.
Payment.
Payment for the fixed-price packages is split 50/50:
- 50% on instruction, payable after you accept the quote and before we start work.
- 50% on completion of drawings, payable on issue of the final drawing pack.
- £199 application admin fee, this is separate from the package price and charged before any planning or permitted development submission. We will only submit an application on your behalf once it is paid.
The price you see is the price you pay.
The current payment method is bank transfer to The Plan Company London Ltd. Account details are sent in the welcome pack email after you accept the quote. Invoices are payable within 7 days. Stripe card payments may be added in future, we'll tell you in writing before that happens.
We don't release the final pack, or submit a planning application on your behalf, while there's an unpaid invoice.
Your portal account.
When you book, we set up a login on our client portal so you can track your project, send us files and message the team:
- One account per booked client. You're responsible for keeping your login details secret. Tell us straight away if you think someone else has gained access.
- Acceptable use, don't upload anything you don't have the right to share. That means no other designers' drawings, no copyrighted photos, and nothing illegal.
- What we do with your files, we store them on our hosted infrastructure (see the privacy notice), share them with the team members assigned to your project, and, where a planning application is required, submit relevant files to the council as part of the planning service.
- Suspension, we may suspend portal access if an invoice is more than 14 days overdue. We'll email you first so it isn't a surprise.
- After cancellation, your portal account is closed but your project files stay under the standard 7-year retention. The detail is in the privacy notice retention table.
Intellectual property.
You own the final drawings and calculations the moment your invoice is paid in full. Until then, the work remains ours and you can't use it for construction or share it with a builder. We keep the right to use anonymised versions of the work, sketches, photos of completed projects, for portfolio and marketing, unless you tell us not to.
Cancellation.
You have the right to cancel within 14 days of accepting the quote under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 (UK distance selling). If you haven't asked us to start work yet, we refund your deposit in full.
If you ask us to start work inside the 14-day window and then cancel, the time we have spent up to the point of cancellation is chargeable at £55 per hour and deducted from your deposit. Any remaining balance is refunded.
After the 14 days, you can still cancel at any time before the drawings are delivered. Work done up to that point is chargeable at £55 per hour and deducted from the deposit. Once the final drawings have been delivered, the full fixed price is payable.
Liability.
We'll do the work with the reasonable care and skill expected of a competent structural and architectural practice. We carry professional indemnity insurance and will share the certificate on request. To the maximum extent the law allows, our total liability to you for any claim arising out of an engagement is capped at the fees you've paid us for that engagement. We don't exclude or limit liability for death or personal injury caused by negligence, for fraud, or for anything else the law says can't be limited.
Complaints.
If something has gone wrong, tell us first. Email hello@theplancompany.co.uk with the project reference and what's gone wrong. We'll acknowledge within 3 working days and aim to resolve within 21. If we can't agree, the dispute goes to the courts of England & Wales, but we'd rather not.

Governing law.
These terms and any contract between us are governed by the laws of England & Wales. The courts of England & Wales have exclusive jurisdiction. This version of the terms was published on 5 June 2026.
